Applicant Rankings

Page Location: Admin > Codes> Applicant Ranking

This code table allows an organization to build a ranking/classification structure which can be embedded into the Inbox view, used as an option for response in the Routing email, and reported on in Standard Reports.  

To activate this code table for ALL Users, go to Admin > Page Builder > Applicant > Inbox and select User Ranking as a column for the Recruiter and/or Hiring Manager Inbox. Each individual user can also activate this column and the resulting code table on a case by case basis via My Preferences. 

User View: When the User Ranking column is available for the User in his/her Inbox, the User can enter a rank for the Applicant with one of the choices entered in this table and click Submit. This is available to each User for each Applicant in his/her inbox.

After each User ranks the Applicants, the ranking can be seen in a few different places.

  1. Reports > Applicant Reports > General – Applicant Ranking by Applicant
  2. Reports > Applicant Reports > General - Applicant Ranking by User. 
  3. This field can also be an option for the user when responding to the Routing email. To activate this edit the Routing email under Admin > Page Builder > Correspondence Templates.
  4. This field can be leveraged in the Cyber Search tool. to find people with specific rankings.

Import Code Key: RANK
.csv file should contain Code & Description in that order.

Creating Applicant Rankings / Ratings

The first step is to set up the rating scale in Cyber Recruiter in Admin > Codes > Applicant Ranking Codes. Add all possible rankings that should be available (Example 1, 2, 3, 4, 5 or A, B, C, D, E) and their descriptions.

Important Considerations: Cyber Recruiter codes cannot contain certain symbols such as commas, quotes, periods, apostrophes or ampersands and the user will get an error message when trying to enter or import codes containing them. There are also certain character combinations that must be avoided because Cyber Recruiter is programmed to strip them (even if they are in the middle of a code or description) as they can be used by others to reference potentially dangerous procedures or scripts that could cause harm to your Cyber Recruiter system. These combinations include: SP_ or sp_ and XP_ or xp_. Also a double dash will be converted to a single dash. There are a few other combinations not listed here that could be stripped, but it is extremely unlikely that they would be used in codes or descriptions.

After clicking "Add new record." enter in the necessary information to create a new code.

Field Purpose
Code Unique Identifier for the drop-down option. This code is written in the raw data and is referenced to determine the description to show on the screen. If the code is removed from the Admin > Codes section, this value will still be in the Applicant file for reporting purposes unless the file is edited and saved after the code was deleted.
When importing data for applicants use this value and NOT descriptions for the import spreadsheets.
Description This is what is displayed on the screens.

 

Inactivating Applicant Rankings

Applicant Ranking codes cannot be inactivated.

NOTE: If a code cannot be inactivated, it is not recommended to delete the code as this could cause "holes" in your data. Instead, consider adding a "z" to the beginning of the Description field as this will move the code to the bottom of the list.
 

Ranking Applicants 

Set up the Admin > Page Builder > Applicant > Inbox to have one of the columns equal User Ranking. Click Save Changes when done. Cyber Recruiter Users can enter the ranking of their choice from the Inbox in the User Ranking column as needed. Click the Submit button to have the rating apply.

Viewing Applicant Rankings / Ratings

Since Applicant ratings are per User, each User could rate an Applicant differently. To view all ratings, run the Reports > Applicant Reports > General > Applicant Rankings by Applicant Report or Applicant Rankings by User to achieve the information needed. Click Next to set the filtering criteria followed by Preview to review the report. If a Cyber Recruiter User has not yet given an Applicant a rating, that User’s name will not appear on the report.
