Time-to-Fill Analysis

This report pulls all requisitions in the system based on your filtering criteria so that you can get a good idea of what your time to fill looks like. This report is definitely one that can be used for analysis and consideration of time it takes to get a positions from date opened to date closed while taking into consideration multiple positions per requisition. Assists with internal processes and goal setting.

Filter Options

  1. Requisition Date Range: Enter the date range for comparison against a date from the Main page of the Requisitions
    1. The dates entered are compared to the specific field based on the option selected for "Based On"
  2. Sort by:
    1. Code: Requisition Code
    2. Description: Pulls from the Requisition File > Main Page > General Tab > Title field
    3. Open Date: Pulls from the Requisition File > Main Page > General Tab > Open Date field
    4. Date Requested: Pulls from the Requisition File > Main Page > General Tab > Requested Date field
  3. Based on:
    1. Close Date: Pulls from the Requisition File > Main Page > General Tab > “Close/Fill Date” field. (Note: This field’s title/caption is user defined via Admin > Page Builder > Requisitions > Miscellaneous > Fill Date. Check to see what caption your organization has given this field to display within Cyber Recruiter)
    2. Open Date: Pulls from the Requisition File > Main Page > General Tab > Open Date field.
    3. Date Requested: Pulls from the Requisition File > Main Page > General Tab > Requested Date field.
    4. Approval Date: Pulls from the Requisition File > Approvals page > Last Approver’s Approval Date field.
  4. Req Status(es): Pulls from the Requisition File > Main Page > General Tab > Status field.
  5. Recruiter(s): Pulls from the Requisition File > Main Page > General Tab > Recruiter field.
  6. Organization Level Title (Example: Location, Department, Division): Pulls from the Requisition File > Main Page > Job Info tab.
    1. If dependencies are set up for the organizational structure under System Setup, selecting an option for a 'master' record (higher on the dependency chart) will reduce the number of options on the 'subordinate' record. For example, if 'Locations' are dependent on 'Departments', when usin the Organizational Filters, selecting a 'Department' will reduce the number of 'Locations' available for selection.
    2. The dependencies are not enforced until the first option is selected. For example, if 'Locations' are dependent on 'Departments' and 'Divisions' are independent of both then you could have a Location which is associated with a Division were there are two different departments. If you need a report based on a the Division and a Locations, then DO NOT select a Department in the filter option. Selecting a Department may exclude the record because the Department/Division combination is not met.
  7. Advanced Criteria: This section allows for other fields of the Requisition file to be used to filter the results.

Report Results

This report is basically two reports in one.  The first section of the report lists the summary time-to-fill information.  The sub-section (under each requisition) details out the information specific to each applicant hired.  Only applicants who are classified as Hired will appear on this report. 

Header Report

  • Column 1: Requisition Code: Description (Requisition File > Main Page > General Tab > Banner)
  • Column 2: Open Date (Requisition File > Main Page > General Tab> Open date field)
  • Column 3: Approval Date (Requisition File > Approvals page > Last Approver’s Approval Date field.)
  • Column 4: Close Date (Requisition File > Main Page > General Tab > “Close/Fill Date” field. (Note: This field’s title/caption is user defined via Admin > Page Builder > Requisitions > Miscellaneous > Fill Date. Check to see what caption your organization has given this field to display within Cyber Recruiter)
  • Column 5: Days Open (Calculated field based on the Fill/Close Date and the Open Date on the Requisition File > Main Page > General Tab; Fill/Close Date minus Open Date)
  • Column 6: Recruiter: (Requisition File > Main Page > General Tab> Recruiter field) 

Sub-Report

  • Column 1: Applicant Name (Requisition File > Applicants Page > Applicant Name)
  • Column 2: Applicant's Status (Requisition File > Applicant Page > Status)
  • Column 3: Hired Date (Requisition File > Applicants Page > Status Date)
  • Column 4: Days Since Last Hire (Calculated field determining how long it took to hire each individual person).  It will be one of two calculations
    • (1) Number of days between two dates of hire (2nd and 3rd hire, for example)
    • (2) Number of days between the open date and the date of hire.
  • Column 5: Total Days to Hire (Calculated field determining how long it took to hire this one person).  

Summary section on the last page includes two pieces of information.
(1) Total requisition reports on the report
(2) Average time to fill for all of the jobs on the report.
