Main and Job Description

This page was updated with version 9.1. 

Two pages generally work together to make up the job posting and store 90% of the details related to the requisition.  Most of the time, these sections are completed (aka mapped) during the requisition creation process.  The pages called "Main" and "Job Description" within the requisition file are used to update the file as the recruiting process progresses.

Main

Main Page allows users to review/update the main requisition information as necessary. This page is highly configurable to meet the organization’s needs and is split up into three (3) tabs: General Tab, Job Info Tab, and Misc Tab.  Users must be assigned to a group in security with "View Only" or "Update" access to see this page.  Field titles and display may be different than listed below based on the setup in Page Builder .

General Tab

This tab holds basic information about the position such as: Recruiter, Supervisor, Status, Date fields, etc…

Field  Purpose
Title Job Title for the requisition. 
Supervisor Name of the supervisor assigned to the requisition. Names which appear here are controlled by the "Supervisor" field in User Security. Often this is re-named "Hiring Manager".
Recruiter Name of the recruiter assigned to the requisition. Names which appear here are controlled by the "Recruiter" field in User Security.
Requisition Reason New Position, Replacement, Budgeted for FYxxx, etc.  Controlled by the "Requisition Reason" codes.
Replacing Name of the person who previous had this position and is being replaced.
Auto Open If this field is set to "Yes", when the final approver approves the requisition, the status will be updated and the Open Date, Date Posted Internally, Date Posted Externally and Remove Posting fields will be automatically updated based on the Posting Rules defined in the creation process.

If this field is set to "No", nothing is automatically changed.  The date fields and the status field should be manually updated so the job can post to the Careers portal.
Application This field controls the pages the applicant views when applying to the requisition.  Options are defined in the website > careers portal setup.
Skip Recruiter Evaluation Allows for the pre-set system defined actions of the website setup to be ignored and for the evaluation process to skip the Recruiter and go straight to the Manager. Leave this field at "Use Website Actions" to indicate that the system defaults should be used.

Set this field to "Add  to Manager's Inbox" to add applicants to the Inbox view for the Supervisor assigned to this requisition. Only applicants who answered ALL the application/requisiton questions acceptably will be added to the Inbox view. 

Set this field to "Route to Manager" to send the routing email to the Supervisor assigned to this requisition.  Only applicants who answered ALL the application/requisiton questions acceptably will be added to the Inbox view. Options which appear in the email MUST be set up on the Actions tab of the Careers Portal and on the Browse Open Jobs tab of the Self Service module.
Featured Job If this field is set to "Yes" the requisition will display on the Featured Jobs section of the careers website. 
Openings Tracks the number of openings for the requisition.
Remaining Openings Tracks the number of remaining options for the requisition.  Calculation is based on the "Openings" field and the total number of applicants listed in the "Filled By" section.   This is a display-only field.
Filled By Displays the list of applicants hired for the requisition.  The applicant name, status and status date will appear below the caption.  Any applicant with a status for the requisition which starts with HIRED will appear in this section.
Status Current status of the requisition based on the code table for "Requisition Status". 
Status Date Date the current status was assigned.  When changing the status this date will automatically fill in but can be adjusted if needed.
Requested Date Date this requisition was added to the system.  This field typically is automatically filled in when created but can be adjusted if needed.
Date Needed Date this requisition needs to be filled by.
Open Date Date the requisition was opened.  This field controls the Time-to-Fill report as well as the "Days Open" field.  This field should ALWAYS be completed for any job which has been opened.
Date Posted Externally
Date the job should be displayed to applicants on the Careers site and in the Self Service module. Leaving this field blank will result in the job NOT showing on the careers site nor inside the Self-Service module for applicants.  
Apply To URL
Enter the URL for the careers site (for example / www.visibilitysoftware.com/careers).  This field will be used on other areas to merge a completed URL for posting and communication in emails. 
Date Posted Internally Date a job should be displayed to employees in the Self Service module. Leaving this field blank will result in the job NOT showing in the Self Service module for employees. 
Remove Posting Date this job should be removed from the Careers/Self Service sites (or date it was pulled down).  Entering in a future date will trigger the system to pull down the job on the designated date. 
Fill Date Date this position was filled.  Often this re-named "Closed Date".  This field controls the Time-to-Fill report as well as the "Days Open" field. This field should ALWAYS be completed for any non-open position.

Job Info

Job Info Tab contains the salary related information and other human resource related fields that are not always on the Requisition Form (EEO Class, Exempt, Salary information, etc…).

Field  Purpose
Org 1 - 5 These fields are defined in System Setup and controlled via codes > organization.  Values in this field can be inactivated.  If there is an inactive code assigned it will still be displayed but will show under a section called ---Inactive Code---.
Zip Code Enter the zip code of this job.  The field can then be used in Searching to find applicants within a certain radius of the job's zip code. 
Type Allows for classification of jobs based on the type of job (Finance, Human Resource, Information Technology, etc.).  Connected to the code table for "Requisition Types.
Functional Title Allows for multiple requisitions to be connected back to the same Job Title for reporting purposes. Connected to the code table for "Functional Title".
EEO Class This field classifies the position into EEO Classifications for reporting purposes.  Connected to the code table for "EEO Class".
Exempt Setting this field to "Yes" notates that this requisition is for a position which is eligible for overtime.
Full Time/Part Time Tracks the schedule for this requisition.  Connected to the "Requisition FT/PT" codes. 
Direct Setting this field to "Yes" notates that the requisition is a directly billed position.
Salary Grade Allows for grades to be entered which pre-filled Salary From and Salary To. Connected to the code table for "Salary Grade". Values in this field can be inactivated. If there is an inactive code assigned it will still be displayed but will show under a section called ---Inactive Code---.
Midpoint If the Salary Grade field is being used, the midpoint will pull from the code setup to display the midpoint between the minimum and maximum salary.  This field is a display-only field. The field is controlled by group security and will show if Salary Range is set to Update or View.
Salary From Displays the minimum salary for this requisition.
Salary To Displays the maximum salary for the requisition. 

Misc Tab (User Defined Title)

Captures the organization's specific requisition information and is highly configurable. This tab can hold up to twenty (20) fields. Contact the administrator if additional fields are needed here.

Job Description

The job description page stores the text details related to the job description.  The headers for the tab (Job Description, Requirements, Public Job Description and Other Description) may not necessarily correspond to the usage of the tab for any specific organization.  The names on the tabs are hard-coded so it is clear when mapping these fields for job postings, emails, offer letters, etc. which tab should be used. 

The job description boxes include an HTML editor so it is easy to include HTML content (links, bolding, bullets, colors, etc.) for the job description. However, making changes to this page may overwrite the default values for text assigned in the website style sheets.  It is recommended that content added to this page be done so using the 'Paste Text' option and then attributes changed
