The logs section of Admin allows for tracking of each email, each error and each search done in the system.  The drop-down list titled – xxx Log - is a shortcut to other logs as needed.

Email Log

The Email Log menu item of Admin > Logs records and displays an abbreviated version of every email generated by Cyber Recruiter. The email log displays the last 300 records (6 pages).  If additional historical information is needed, use the Report Writer to create a custom report.  The data source is View_EmailLog.

The Email Log is a good a place to troubleshoot emailing issues. If Users do not feel that an email is being sent from Cyber Recruiter, the Administrator can check this log to see if an email did go out. If it did, most likely the intended receiver has a spam blocker set too high. If the email is not listed, here the Administrator can check the SMTP server to see if email is working.

A monitoring is included which monitors the email constructiveness in the core system. If the careers module is using the same STMP server then the test will be applicable to both sites. On the bottom of the Log page, enter the email address of the person who should be notified of the status of the emails.  An email trigger is attempted each night from the server (setup required ) and if the emails fails to be sent out, when this person logs into the system a message is presented on the Home Page (Cyber Recruiter failed in sending its test email on DATE at TIME").

The message will stay on the Home page for 7 days.  If the monitor is unsuccessful for multiple days, only the last 7 days will appear on the home page.

Log Details

Column  Purpose 
Date/Time Date and time the email was sent from the system.
User ID User ID which was used to send out the email. 
ONLINE is the User ID for the automatic email from the website.
SYSTEM is the User ID for the automatic emails from the system not connected to a user.
Sent To Email address which was used for the email.
Subject/Message First 200 characters of the email for quick reference related to the topic.
  Click on the Detail link in the right-most column to see the email in full


The PURGE button allows the User to purge emails from a specified date range. Enter the desired date and it will purge emails from that date and back. 

Enter in a date for comparison. All emails messages sent UP TO AND INCLUDING this date will be removed.

Error Log

The Error Log menu item of Admin > Logs records and displays an abbreviated version of several errors generated by Cyber Recruiter. If a report of historical information is needed, use the Report Writer to create a custom report. The data source is View_ErrorLog. 

Column  Purpose 
Date/Time    Date and time the error was generated by the system.
User ID User ID which generated the error.
ONLINE is the User ID for the automatic email from the website.
SYSTEM is the User ID for the automatic emails from the system not connected to a user.
Message First 200 characters of the email for quick reference related to the topic.

The EMAIL button consolidates the table of information and sends an email to the specified email address with the 20 most recent errors listed.

Search Log

The Search Log menu item of Admin > Logs records and displays the criteria for each search conducted. This log assists organizations in being Office of Federal Contract Compliance Programs (OFCCP) complaint. If enabled, the log tracks the search criteria and the results of each search performed via Applicants > Search Applicants.  

This page includes set-up, reporting and summary information for the Search log. 

Setup

Setup Option Purpose
Enable Search Logging This field determines if the "OFCCP Search Log" should display on the search pages. 
Checked = a drop-down list of the available requisitions and comment text box becomes available.
Not Checked = the drop-down list and comment text box do not appear.
Require a Req for all Searches When checked, Users are forced to select a requisition when conducting a search.
Allow note to Substitute This checkbox determines if a box will be present to allow the User the option of entering a comment on reasons for conducting the search or selecting a requisition instead of picking a requisition
Req Statuses to Display
(scroll to the bottom of the page)
Hold down the Ctrl key to highlight the statuses of the requisitions which should appear in the drop-down list of available requisitions when conducting a search as well as the list of jobs to show if routing from the search results page.

By default the field is set to the BLANK line which means all requisitions are considered in the searches.
NOTE: This does not limit the search results in any way.  It only connects the search report back to the requisition specified.

Summary Information

Column Purpose 
Date/Time Date and time the search was generated. 
Detail report is viewable via the Report link.  This report shows the criteria used and the applicant records found. 
User ID User ID of the person who performed the search.
Req Will contain one of three values depending on the setup.
1) Blank - if a requisition is NOT required for the Search and the users leaves the information blank.
2) Requisition Code for the requisition selected as the "OFCCP Search Log" criteria. 
3) Note - if a requisition is required but a note is available as a substitute.
Search Query This does not show the actual values selected by the user on the screens but instead translates the selections into the code used by the system to find the applicants

Reporting

Two reports are listed on this page. 

REPORT link in the Date/Time Column:
This report displays individual search details based on the record line selected.  The Search criteria is listed at the top and the applicant information found during the search is displayed in detail.  Because searches are dynamic and the data is continually changing, the search can result in different results each time the search is performed.  This report saves the information in a snapshot so even 3 months later, after the data has changed, the historical search results can be found.  Columns Include:
  • Applicant Name
  • Applicant Number (Unique Identifer for Cyber Recruiter)
  • Overall Status at the time the search was performed
  • Date this status occurred. 
REPORT link (TOP):
This link pulls all searches together into a printable report. It will show all the queries should there be an audit.  This report also allows for filters to be placed on the report to search for information related to the requisition.  Criteria filters include:

Criteria Purpose 
Date Range References back to the date the search was done and limited the results to only report on the range specified.
If blank, all searches will be reported.
Group By Not a filter but rather a preference for displaying the information on the report.
None = Now grouping.  Sorts the records by the search date
Requisition = Groups the records by the requisition code
User ID = Groups the records by the person conducting the search
Req Status(es) References back to the requisition entered for the search and limits the results based on the current status of the requisitions.
Recruiter(s) References back to the requisition entered for the search and limits the results based on the recruiter assigned to the requisition.
Org 1 References back to the requisition entered for the search and limits the results based on the Org 1 assignment in the requisition.
Org 2 References back to the requisition entered for the search and limits the results based on the Org 2 assignment in the requisition.
Org 3 References back to the requisition entered for the search and limits the results based on the Org 3 assignment in the requisition.
Org 4 References back to the requisition entered for the search and limits the results based on the Org 4 assignment in the requisition.
Org 5 References back to the requisition entered for the search and limits the results based on the Org 5 assignment in the requisition.
 
Report Columns Include:
  • Date of the Search
  • User ID: User Name
  • Search Criteria (code used to find the applicants)
