New Position Notification (Applicant View)

The New Position Notification Page allows Applicants (or Employees) to set up Job Alerts which will notify the individual when a new position becomes available with the organization which matches the requirements they have defined. This allows the individual to control the types of jobs which trigger the notification he/she isn't inundated with emails which are not relevant.

Alert emails are set based on a pre-determined schedule which is set up on the server and will send emails

  1. If the requisition has a status which is considered 'Open' for that individual
  2. If the requisition matches something the applicant/employee has set up as a trigger
  3. If the trigger's expiration is still in the future
  4. If the applicant/employee has never been alerted of this position before (meaning, if a job was opened and then closed and then opened again, the applicant/employee will not be notified a second time)

General Setup

Field Purpose 
...Available to Applicants? Change this field to "Yes" if applicants (anyone with an Overall Status which does NOT start with HIRED) should be able to see and use this page.
...Available to Employees? Change this field to "Yes" if employees (anyone with an Overall Status which DOES start with HIRED) should be able to see and use this page.
...Notification Expires... Enter a number into this field to control when the email notification will expire.  This helps to control how many emails are being send out of the system and it encourages applicants to return to the Self Service portal to look at jobs and update their notification requests.  If you don't want an expiration,

For example, if an individual adds in a Job Alert on 2/15/2012 and the number in this field is 90, then the alerts going out to the individual will stop on on 5/15/2012 and the individual will no longer get that notification.  He/she can log back into the Self Service module and set up a new alert - to keep it going - if desired.
Message Enter a message which will appear on the top of the page and explain what the purpose of this page is and how it should be used.  Be sure to include instructions and expectations so that when an email is received they are aware of next steps.
Selection for Filter Triggers Highlight which fields in the requisition which should be available for building the Job Alert requests.  This is not the list of actual values but rather the fields they can leverage to build their requests.  Highlighting a value on this page provides the individual with the selection to pick values from that drop-down in the system. 

Currently the Req Type, any of the Organizational Levels or any of the requisition misc fields (which are code table driven) can be used to build Job Alerts.

Email Setup

Field  Description
Subject  This is the subject line of the email which the applicant/employee will see.
Body This is the body of the email. Merge fields show in curly brackets { } will pull information from Cyber Recruiter to post into the email.
From Address This section controls which email address is used when sending the emails out of Cyber Recruiter.  Keep in mind that once it is out of Cyber Recruiter, the email is just like any other email and an applicant/employee could respond back to the email.
  Default 'From' Email Address Emails will come from the default email address set under System Setup
  Last person to change the requisition Emails will come from the user account of the last person who approved the requisition.  For example, if the VP of Human Resources is the last person who approved the job before it was posted, all the alerts will come from that email address.
  Recruiter... Emails will come from the user who is assigned as the Recruiter in the requisition.
  Hiring Manager... Emails will come from the user who is assigned as the Hiring Manager in the requisition.
  This email address Emails will come from the email address entered to the right of this option. 

NOTE: This still must be a valid email in order for the feature to work correctly.

Merge fields can be added to the emails to make them custom to the individual who will receive it.  To add a merge field, place the cursor on the page where the merge field should appear.  Then, go to the "Fields" drop-down box and find the field to add and press the "Add" button. 

Available Merge fields include:

Applicant Number Automatically assigned number for the applicant. Can be used as the Self Service Login.
Application Date "Application Date" stored on the Status/History page.
Applicant First Name "First Name" stored on the Demographics page.
Applicant Last Name  "Last Name" stored on the Demographics page.
Applicant in Last Name, First Name format Name in the specified order.
Applicant in First Name Last Name format  Name in the specified order.
Applicant Street Address "Street 1" and "Street 2" stored on the Demographics page. 
Applicant City, State/Province, Zip/Postal "City", "State/Provence" and "Zip/Postal Code" stored on the Demographics page.
Applicant Country "Country" stored on the Demographics page.
Applicant Home Phone "Home Phone" stored on the Demographics page.
Applicant Work Phone "Work Phone" stored on the Demographics page.
Applicant Work Extension "Work Extension" stored on the Demographics page.
Applicant Cell Phone "Cell Phone" stored on the Demographics page.
Applicant Fax "Fax" stored on the Demographics page.
Applicant Email Address  "Home Email" stored on the Demographics page. 
Applicant Resume Test version of the resume stored on the Resume page.
Overall Status "Overall Status" stored on the Status/History page.
Status Date "Status Date" stored on the Status/History page.
Desired Salary "Desired Salary" stored on the Application page.
Referral Source "Referral Source" stored on the Application page.
Employee Referral Name "Source Details" stored on the Application page.
Ethnic Origin "Ethnic Origin" stored on the EEO tab of the Demographics page.
Gender "Gender" stored on the EEO tab of the Demographics page. 
SSN "SSN" stored on the EEO tab of the Demographics page.
Self Service Password Password for this applicant/employee which can be reset on the Application page.
Provide this information just in case the individual has misplaced his/her information.
Individual with Disability "Individual with Disability" stored on the EEO tab of the Demographics page.
Armed Forces Service Medal Veteran "Armed Forces Service Medal Veteran" stored on the EEO tab of the Demographics page.
Vietnam Era Veteran "Vietnam Era Veteran" stored on the EEO tab of the Demographics page.
Disabled Veteran "Disabled Veteran" stored on the EEO tab of the Demographics page.
Other Protected Veteran "Other Protected Veteran" stored on the EEO tab of the Demographics page.
Recently Separated Veteran "Recently Separated Veteran" stored on the EEO tab of the Demographics page.
Miscellaneous Fields (1-20) Miscellaneous fields from the Miscellaneous page of the applicant file.
Requisition Description "Job Title" stored on the Main page based on the requisition which is being triggered.
Requisition Code "Code" (typically automatically assigned) based on the requisition which is being triggered.
Requisition Type "Req Type" stored on the Job Info tab of the Main page based on the requisition which is being triggered.
Supervisor of Requisition (Full Name) "Manager" saved to the General tab of the Main page based on the requisition which is being triggered.
Supervisor of Requisition (User ID) User ID for the  "Manager" saved to the General tab of the Main page based on the requisition which is being triggered.
Recruiter of Requisition (Full Name) "Recruiter" saved to the General tab of the Main page based on the requisition which is being triggered.
Recruiter of Requisition (User ID) User ID for the "Recruiter" saved to the General tab of the Main page based on the requisition which is being triggered.
Requisition Job Description "Job Description" stored on the 1st tab of Job Description page.
Requisition Requirements "Requirements" stored on the 2nd tab of Job Description page.
Requisition Public Job Description "Public Job Description"stored on the 3rd tab of Job Description page.
Requisition 'Other' Description  "Other Description" stored on the 4th tab of Job Description page.
Organizational Levels (1-5) Organizational field values stored on the Job Info tab of the Main page  based on the requisition which is being triggered.
Miscellaneous Fields (1-20) Miscellaneous field values stored on the Misc. tab of the Main page  based on the requisition which is being triggered.
Current Date Current date based on when the email is triggered.
Current Time Current time based on when the email is triggered.
Company Name "Company Name" stored under Admin > System Setup.
Link to Job Description Provides a link back to the job description on the website so the individual can read more about the job.  Instead of applying via this page, the individual should log into the Self Service module and complete the process.
Self Service Link Provides a link back to the Self Service module so the individual can apply to the position.
